Handling of Applicant Data

We offer you the opportunity to apply for a position with us (e.g., by email, mail, or via an online application form). Below, we provide information about the scope, purpose, and use of your personal data collected as part of the application process. We assure you that the collection, processing, and use of your data are carried out in accordance with applicable data protection laws and all other legal provisions, and that your data will be treated as strictly confidential.

Recruiting Software Used

We use the applicant tracking system provided by rexx systems GmbH, Süderstraße 75-79, 20097 Hamburg, to manage and publish our job openings and to process applications. Our careers page is hosted there: https://karriere.analytical-software.de/. In this context, rexx systems processes the applicant data you submit on our behalf. We have a data processing agreement with rexx systems in accordance with Article 28 of the GDPR, which ensures that processing is carried out exclusively in accordance with our instructions and in compliance with the GDPR. 

There is no exclusively automated decision-making pursuant to Article 22 of the GDPR.

Scope and Purpose of Data Collection

When you submit an application to us, we process your associated personal data (e.g., contact and communication details, application documents, notes taken during job interviews, etc.) to the extent necessary to decide whether to establish an employment relationship. The legal basis for this is Section 26 of the German Federal Data Protection Act (BDSG) under German law (initiation of an employment relationship), Article 6(1)(b) of the GDPR (general contract initiation), and—if you have provided consent—Article 6(1)(a) of the GDPR. You may withdraw your consent at any time. Your personal data will be shared within our company exclusively with those individuals involved in processing your application.

If your application is successful, the data you submitted will be stored in our data processing systems on the basis of Section 26 of the BDSG and Article 6(1)(b) of the GDPR for the purpose of carrying out the employment relationship.

As part of the application process, we may also conduct an online search regarding you. This primarily includes Google searches, LinkedIn, and Xing. The legal basis for this type of processing is our legitimate interest in obtaining an overall impression of publicly available information about you in accordance with Article 6(1)(f) of the GDPR.

Data Retention Period

If we are unable to offer you a position, if you decline a job offer, or if you withdraw your application, we reserve the right to retain the data you submitted on the basis of our legitimate interests (Article 6(1)(f) of the GDPR) for up to 6 months from the conclusion of the application process (rejection or withdrawal of the application). Afterward, the data will be deleted and the physical application documents will be destroyed. Retention serves, in particular, as evidence in the event of a legal dispute. If it becomes apparent that the data will be required after the 6-month period has expired (e.g., due to an impending or pending legal dispute), the data will not be deleted until the purpose for continued retention no longer applies.

Data may also be retained for a longer period if you have provided the necessary consent (Art. 6(1)(a) GDPR) or if statutory retention obligations prevent deletion.

Inclusion in the Candidate Pool

If we do not offer you a position, there may be the option to include you in our applicant pool. If you are included, all documents and information from your application will be transferred to the applicant pool so that we can contact you in the event of suitable vacancies.

Inclusion in the applicant pool is based exclusively on your explicit consent (Art. 6(1)(a) GDPR). Providing consent is voluntary and is not related to the ongoing application process. The data subject may withdraw their consent at any time. In this case, the data in the applicant pool will be irrevocably deleted, provided there are no legal grounds for retention.

Data from the applicant pool will be irrevocably deleted no later than two years after consent is granted.
